1 Who we are and what this policy covers
1224 Innovations, LLC, doing business as VetSoftwareHub (“we,” “us,” or “our”), operates www.vetsoftwarehub.com. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information in connection with the website, accounts, vendor listing management, inquiries, and related services covered by this policy.
“Personal information” means information that identifies, relates to, or can reasonably be linked to an identifiable individual, including business contact information where protected by law. Company facts that do not identify a person may fall outside that definition, but publicly available information is not automatically exempt from privacy law.
This policy does not govern independent vendors’ websites or their products. A consulting engagement may include additional privacy or confidentiality terms. Those terms supplement this policy for the engagement and do not remove rights provided by applicable law. Our Terms of Service are at https://www.vetsoftwarehub.com/terms-of-service. Reading this policy or using the website does not itself provide consent where a separate affirmative choice is required.
2 Contact and responsibility
For privacy questions or requests, email privacy@vetsoftwarehub.com or write to 1224 Innovations, LLC, PO Box 14, Ironia, NJ 07854, United States. You may request more information about our processing and the service providers involved through these contacts.
3 Information you provide
Contact and service requests
We collect information you enter when contacting us or requesting a service, which may include first and last name, email address, telephone number, professional role, product name or website, and the contents of your question or message. We use it to respond to the request and communicate about it. Forms identify required and optional fields; an optional field is not necessary merely to browse the directory. If you omit information needed to fulfill a particular request, we may be unable to fulfill that request.
Accounts and listing management
When you register, claim a listing, or communicate about a listing, we collect the information you submit to identify you, contact you, establish your association with the vendor, and administer your access. This may include work contact details, company affiliation, correspondence, and listing content. The Guidelines describe email-domain matching and, in some cases, emailed verification codes.
Listing assets and public contributions
Information you submit for public listing fields, images, videos, and any available review or response functionality may be displayed publicly. Your private account or verification information is not made public merely because you submit a listing. Before you submit a contribution for publication, we will identify which contributor details will be publicly displayed. You should not include personal information about someone else unless you have an appropriate basis to provide it for that purpose.
Subscriptions and downloads
When you request emailed resources or opt into updates, we collect the contact information and preferences you provide to deliver the requested material and, when you have agreed, send the described updates. A service inquiry or vendor listing contact is not automatically a marketing subscription.
Consulting
If you engage us for consulting, we use the contact information and materials you provide to discuss and deliver that engagement and administer the relationship.
4 Information collected automatically and from other sources
Usage and system information
As described in our existing policy, operation and maintenance of the website may involve collecting IP address, browser type, operating system, device information, request time and method, response status, pages viewed, page sequence, and visit duration. These records support website operation, troubleshooting, and security. Whether particular fields are collected, and any additional analytics purposes, depend on the technologies actually enabled.
Public and vendor sources
Directory information may come from vendor submissions, public product or company websites, and other lawfully available sources. It can include a representative’s professional information if that information appears in source material. When we obtain personal information indirectly, applicable notice and other privacy requirements still apply.
5 Why we use personal information
We use personal information to provide the requested website functionality and services; respond to inquiries; administer accounts and authorized listing access; maintain listings and public contributions; communicate about submissions, changes, and security; troubleshoot and protect the Services; prevent fraud and misuse; comply with law and valid legal process; and establish, exercise, or defend legal claims.
We use vendor contact information collected for listing management for communications about listings. We send optional marketing updates only with the permission described at collection. If information is needed for a new, incompatible purpose, we will provide any required notice and obtain any required consent before that use.
6 Cookies analytics fonts and embedded content
Cookies are small pieces of information stored in your browser. Similar technologies can include pixels, local storage, identifiers, and embedded scripts. Technologies needed for requested functionality may operate differently from optional analytics or advertising tools. An embedded external service may receive technical information when a page loads even if you do not interact with the embedded content.
You can use your browser settings to manage some cookies and stored data. Blocking technologies necessary for a requested feature may affect that feature. Browser cookie controls do not necessarily stop all collection or all third-party uses. Where applicable law requires consent for a technology, we will obtain it before enabling that technology and provide a way to withdraw it.
7 How information is disclosed
Service providers and personnel
Personal information may be accessed by personnel involved in operating the Services and by external providers performing functions for us. We limit access to information needed for the relevant function and require appropriate confidentiality and data-processing protections where applicable. A recipient’s role and permitted uses depend on the actual service and agreement, not merely on calling it a service provider. You may request information about these recipients using the contact details above.
Public display
Information deliberately submitted to public fields may be visible to website visitors, search engines, and others. We cannot control independent copies made by others, but that does not excuse our own obligations to honor valid requests or take legally required steps concerning recipients.
Call For Me
Consistent with our published service commitment, we use your contact details to communicate with you about your inquiry and do not pass, rent, or sell your name or contact details to software vendors. We send vendors the product questions needed to obtain an answer without identifying you.
Legal and protective disclosures
We may disclose information when required by applicable law or valid legal process, and as lawfully necessary to investigate misuse, protect rights and safety, or establish or defend legal claims. A request from an authority does not automatically establish a legal obligation to disclose.
Business transfers
If the business or relevant assets are involved in a proposed merger, acquisition, financing, or similar transaction, information may be disclosed under appropriate safeguards and transferred as permitted by law. A successor must respect applicable commitments and provide any legally required notice or choice before materially different use.
8 Contact information sales and targeted advertising
We do not sell vendor or buyer contact information, including by exchanging a contact list for money or other valuable consideration. We do not add you to a marketing list without explicit permission. These commitments preserve the published Listing Guidelines and contact-page promises and do not establish whether a technical disclosure is a “sale,” “sharing,” or “targeted advertising” under a particular privacy statute.
9 Retention and account deletion
We retain personal information for as long as reasonably needed for the purpose for which it was collected, taking account of service delivery, account status, lawful public content, fraud prevention, security, legal obligations, and the establishment or defense of claims. Consent alone is not a reason to retain information indefinitely. When information is no longer needed, we delete it or deidentify it where legally permitted.
Request account closure or personal-information deletion at privacy@vetsoftwarehub.com. We may reasonably verify identity where necessary and permitted for the request, and clarify its scope without obstructing its exercise. Closing your account ends account access and your listing-management privileges. It does not automatically remove a company or product listing, other people’s lawful reviews, or independently maintained business information.
A company’s request to remove its entire listing is assessed under Section 4 of our Terms. An individual’s request concerning personal information is assessed under this policy and applicable law, including when the individual is a vendor representative. We may remove personal contact details or identifying attribution while retaining nonpersonal company and product information. We assess personal information separately. A directory license or the public availability of a record does not override a valid deletion right. Where lawful retention is necessary, we restrict further processing to the permitted purpose and explain an applicable denial or exception as required by law. Backup copies may remain only for a justified, limited period and with appropriate restrictions; the actual process must match the completed retention disclosure.
Where legally required, we notify relevant recipients of corrections, deletion, or restrictions and inform you about recipients upon request. If information has already been deleted, we cannot provide a copy we no longer hold, but that does not extinguish other applicable rights or remedies. We do not promise erasure from every independent third-party copy on the internet.
10 Security and sensitive information
We take appropriate organizational and technical measures to protect personal information against unauthorized access, disclosure, alteration, and destruction. No transmission or storage system is completely secure. Contact privacy@vetsoftwarehub.com if you believe information has been exposed or misused. This statement does not waive our legal security or breach-notification obligations.
The website’s public submission features are not intended for confidential customer records, payment credentials, government identifiers, or sensitive information about people. Do not include such material in listings, screenshots, videos, reviews, or general inquiries. Use anonymized demonstration content. An animal’s medical record may also identify a person; veterinary context does not remove applicable privacy obligations.
11 Your choices and requests
You may contact us to ask about, access, correct, or delete personal information. Depending on the law that applies, you may also have rights to obtain a portable copy, restrict processing, object to certain uses, withdraw consent, opt out of regulated sale, sharing, targeted advertising, or certain profiling, and appeal a denied request. These rights have legal conditions and exceptions. We will not unlawfully discriminate against you for exercising them.
To submit a request, email privacy@vetsoftwarehub.com and describe the action requested and enough information to locate the relevant records. We will not require creation of an account merely to submit a privacy request. We will use proportionate identity checks only when necessary and permitted for that type of request, and avoid requesting unnecessary sensitive information. We will not impose a verified identity requirement on an opt-out where applicable law prohibits it. An authorized agent may submit a request where permitted by law; we may require proof of authority and, where lawful, verify the individual’s identity. We will respond within the applicable legal period, explain any permitted extension, and give required reasons and appeal information if we deny a request. Requests are free unless a lawful exception permits a fee, which we will explain in advance.
If an applicable law provides an appeal right, reply to our decision at privacy@vetsoftwarehub.com and state why you seek review. We will provide the legally required response and information about further complaint options. You may also complain directly to the competent regulator where the law permits.
You can withdraw marketing permission through the unsubscribe method in our marketing emails or by contacting us. Withdrawal does not prevent necessary service or security communications or invalidate earlier lawful processing. Where we rely on consent for other processing, you can withdraw it through the applicable control or our privacy contact.
12 Additional United States privacy disclosures
Where an applicable state privacy law covers our processing, we honor the rights it provides, subject to its scope and exceptions. These may include a right to limit certain uses or disclosures of sensitive personal information where that right applies. The sections above describe information categories, sources, purposes, recipients, retention, and requests. Professional contact details can still be protected information; the fact that this is a B2B directory does not by itself establish an exemption under every law.
13 Additional European and United Kingdom information
Where the EU or UK GDPR applies, we process personal information only with an applicable legal basis. Depending on the activity, that may be performance of a contract with you or steps you request before a contract; compliance with a legal obligation; legitimate interests such as operating and securing the website and responding to business inquiries, where those interests are not overridden by your rights; or consent where required. The applicable basis must be identified for each activity; listing possible bases does not establish that any particular processing is lawful. Public-authority processing is not asserted as a routine basis for this business.
Subject to applicable conditions, you may access, correct, erase, restrict, or obtain a portable copy of your information; object to processing based on legitimate interests for reasons relating to your circumstances; and object to direct marketing at any time without giving a reason. You may withdraw consent at any time without affecting the lawfulness of prior processing. We will stop direct marketing when you object. You may complain to the data protection authority where you live or work, or where an alleged infringement occurred, including the UK Information Commissioner where applicable.
You may request information about applicable transfer safeguards and legally required information about automated decision-making. Restrictions on access to sensitive security details do not remove required transparency.
14 Processing locations and international transfers
Our published contact address is in the United States. Personal information may be processed where we and the providers involved in a particular service operate, including outside your jurisdiction. Those countries may have different privacy laws.
Where law requires a safeguard for an international transfer, we will use an applicable lawful mechanism and make required information available on request, subject to permitted redactions.
15 Children and other websites
The Services are intended for adults aged 18 and older and are not directed to children. If you believe a child provided personal information through the Services, contact privacy@vetsoftwarehub.com so we can investigate and take action required by law.
InternalLinks to vendors, social platforms, and other websites lead to services with their own privacy practices. Review their notices before providing information. A link alone does not mean we transmit your contact details to that provider; actual embedded technologies and other disclosures must be described in Sections 6 and 7.
16 Changes to this policy
We will post revised policies at https://www.vetsoftwarehub.com/privacy with an updated date and effective date. For material changes, we will provide additional notice appropriate to the change and required by law, which may include a website notice or email where we have contact details. If a change requires new consent, we will obtain it before the affected processing begins. A policy update does not retroactively authorize a use that required notice or consent when information was collected.
