VetSoftwareHub helps veterinary professionals discover and evaluate B2B software and services for their practices. These guidelines keep listings clear, accurate, and aimed at practice teams, not pet owners or consumers.

Who VetSoftwareHub is for
VetSoftwareHub is a business-to-business marketplace for the veterinary industry. Every listing should be written for the people who operate and work in practices, not for pet owners or the general public.
  • Our audience is veterinary professionals: practice owners, managers, veterinarians, technicians, and operations staff evaluating software and services for their hospital or clinic.
  • We list B2B software and professional services sold to veterinary practices. We do not list consumer apps, pet-owner products, retail offerings, or other business-to-consumer services.
  • Descriptions, images, and website URLs should reflect how a practice evaluates and buys tools for day-to-day operations.
  • If your company serves both practices and consumers, focus your listing on the practice-facing offering. Listings aimed solely at pet owners are not eligible.
Listing types: software and services
VetSoftwareHub lists B2B veterinary software and professional services for practice teams. Choose the type that matches what you are offering before you submit.
  • Software listings are for SaaS products, platforms, and tools with a product website and typical software workflows.
  • Service listings are for providers such as consulting, billing, marketing, staffing, IT, and similar offerings that serve veterinary practices.
  • Your listing type determines which categories you can select. Categories are filtered to match software or service listings.
  • Use the same content standards on this page for both types. Some sections, such as demo videos and integrations, apply primarily to software listings.
Who can submit a listing
  • Any SaaS vendor serving the veterinary market may submit a software listing.
  • Veterinary service providers may submit a service listing if they actively serve practices or hospitals.
  • Consultants, resellers, or third-party agents should have written permission from the vendor or provider before submitting.
  • Open source or free tools are welcome if they are actively supported.
What to include in your listing
Required fields keep listings consistent across the marketplace. Optional items help buyers evaluate faster.
  • Listing type: Software or Service.
  • Listing name and company name.
  • Website URL that is live and accessible.
  • Primary category matched to your listing type. Software examples include Practice Management, Telemedicine, and AI Scribe. Service examples include Revenue Cycle, Marketing, and Locum Staffing.
  • Contact information for a primary vendor or provider representative.
  • A hero image that is 1200px x 630px.
  • A short description under 160 characters.
  • A factual listing description under 300 words.

Optional but encouraged

  • Logos and up to 3 listing images, PNG, WEBP, or JPG preferred.
  • An optional product video file, ideally MP4, 200MB max and 4 minutes or less. Upload it in the Images & Video tab when editing your listing. See demo video guidelines below.
  • Public pricing page or sample packages.
  • For software listings: documentation links, security overview, API docs, or support center links where relevant.
Website URL guidelines
The website URL in your listing should help buyers land directly on the software or service you are submitting. The goal is to make it easy for visitors to verify what the offering is, what it does, and whether it fits their practice.
  1. Use a direct listing URL

    • Submit a direct link to the software or service being listed, not a general company homepage unless that page clearly describes the offering.
    • Do not use demo request forms, contact forms, lead capture pages, or generic marketing pages as the primary listing URL.
    • The destination page should clearly match the listing name and description shown on VetSoftwareHub.
  2. US English required

    • The listing website must be available in US English.
    • Most of our audience is in North America. Practice teams need to evaluate offerings in clear, professional US English.
    • Sites that are only available in other languages, or that require visitors to choose a non-English locale to understand the offering, may not be approved until a US English version is available.
  3. Production site only

    • The URL must point to a live production site that is publicly accessible.
    • URLs containing terms such as beta, test, temp, staging, dev, preview, or similar non-production markers may disqualify the listing.
    • Broken pages, placeholder pages, password-protected pages, or under-construction pages are not acceptable as listing URLs.
  4. Keep the page stable after approval

    • If the approved URL later redirects to a different destination, the listing may be temporarily delisted while we review the new page.
    • If the redirected or replacement page no longer reflects the original listing, we may request updates or remove the listing until it is corrected.
    • Major changes to branding, positioning, or destination pages should be submitted through your vendor dashboard when you manage the listing, or emailed to vendors@vetsoftwarehub.com if you do not yet have access.
  5. What makes a strong listing URL

    • The page should explain what the software or service does in plain language.
    • Helpful supporting information includes screenshots, feature or service overviews, pricing information, integrations (for software), documentation, or clear next steps for learning more.
    • Use a clean, trustworthy URL path that makes sense for the listing and avoids unnecessary tracking or campaign-specific parameters.

Why This Matters

Visitors use listing links to confirm that a software product or service is real, live, and relevant to their needs. Sending buyers to the right page improves trust and helps keep listings accurate over time.

Style and content requirements
  • Write in clear, professional, plain language for a veterinary practice audience, not pet owners or consumers.
  • Avoid exaggerated marketing claims such as best ever or world changing.
  • Back performance or financial claims with data whenever possible.
  • Do not include competitor comparisons or negative language.
  • These rules apply to new submissions, claim requests, and vendor-submitted listing edits.
Listing description guidelines
Your listing description should help veterinary professionals at a practice decide whether the software or service fits their hospital or clinic. Write for a B2B buyer evaluating operations, not for pet owners. It should explain the offering, not sell it.
  1. What the description should do

    • Explain what the software or service does in plain language.
    • Describe the practice types, hospital settings, or teams the offering is built for.
    • For software: call out workflows such as scheduling, records, invoicing, communication, reporting, inventory, or AI-assisted documentation.
    • For services: describe the type of work delivered, typical engagements, and who on the practice team would use or benefit from it.
    • Use a neutral, factual tone that helps buyers evaluate fit.
  2. What to leave out

    • Do not include pricing, setup fees, discounts, contract terms, free trial details, or "contact us for pricing" language.
    • Do not turn the description into a sales pitch, slogan, or ad.
    • Do not use unsupported superlatives such as "best," "leading," or "most advanced."
    • Do not add calls to action such as "book a demo" or "schedule a call."
  3. Where pricing belongs

    • Keep all pricing information in the separate pricing section of your listing.
    • If pricing appears in the listing description, the submission or edit may be returned for revision before approval.

Example

Too promotional: "AcmeVet is the leading all-in-one platform for modern veterinary practices, with pricing starting at $199 per month."

Better: "AcmeVet is a cloud-based practice management platform for small and mid-sized veterinary hospitals. It supports scheduling, medical records, invoicing, reporting, and client communication."

Demo video guidelines (software listings)
Demo videos apply primarily to software listings. A good product video helps buyers understand how the software works in real use. It should feel like a clear walkthrough, not a commercial.
  1. What a strong product video should show

    • Show the product interface and real workflows buyers would care about, such as scheduling, records, communication, reporting, or AI-assisted tasks.
    • Use plain narration, captions, or short callouts that explain what the viewer is seeing.
    • Keep the focus on how the product works, what problems it solves, and what a clinic user can expect day to day.
    • Aim for a concise walkthrough. Even though the cap is 4 minutes, shorter videos are usually more effective.
  2. Technical requirements

    • Submit the actual video file. We do not accept YouTube, Vimeo, Loom, Wistia, or other hosted links that take visitors off VetSoftwareHub.
    • Format: MP4 is preferred because it is the most reliable for on-site playback.
    • Length: 4 minutes maximum.
    • File size: 200MB maximum.
    • If you plan to include a custom thumbnail, keep it clean, product-relevant, and consistent with the image guidelines on this page.
  3. Prohibited content in videos

    • Heavy sales pitches, hype reels, or ad-style videos that say very little about how the product actually works.
    • Promotions, discount language, countdowns, or aggressive calls to action such as "Book now" or "Limited time offer."
    • Slides packed with feature lists, dense paragraphs, or text-heavy marketing claims.
    • Misleading demonstrations, mocked-up workflows presented as live functionality, or claims the product cannot support.
    • Copyrighted music, footage, logos, UI, or other assets the submitter does not have the legal right to use.
    • Pornographic, sexually explicit, or otherwise inappropriate content.
    • Trademarked content that the submitter is not authorized to display.
  4. How to upload your video

    • Open your listing editor and go to the Images & Video tab.
    • Upload the video file directly. YouTube, Vimeo, Loom, Wistia, and other hosted links are not supported.
    • Optionally add a cover image so buyers see a custom thumbnail before the video plays.
    • Use Preview Listing to confirm the video looks right before submitting for review.

Why This Matters

Buyers use product videos to decide whether a tool is worth a closer look. The most helpful videos are honest, easy to follow, and grounded in the actual product. Keeping them short, file-based, and product-focused makes the experience better for buyers and fairer for vendors.

Logo guidelines
Your logo helps buyers quickly recognize your brand across VetSoftwareHub. A clean, square, transparent asset is the most reliable option for listing pages and related UI.
  1. Preferred logo format

    • Submit a square logo.
    • Use a white or transparent background so the logo displays cleanly across cards, search results, and listing pages.
    • PNG or SVG is preferred. WEBP or JPG is acceptable if the logo remains crisp and readable.
  2. Technical requirements

    • Upload an image file under 5MB.
    • Avoid tiny source files, stretched exports, or logos with excessive empty space around the mark.
    • Uploaded logos are resized to 400 x 400, and a 50 pixel gutter is added to all sides for consistent spacing on the site.
  3. Content and rights requirements

    • Use your official product or company logo, not a promotional banner or ad creative.
    • Do not add taglines, screenshots, pricing, calls to action, or extra marketing copy inside the logo file.
    • Only submit logos, trademarks, mascots, or brand assets that you are authorized to display.

Hero image guidelines
Your listing’s hero image is often the first impression veterinary professionals will have of your software or service on VetSoftwareHub. To ensure consistency, professionalism, and a positive user experience, all hero images must follow these standards:
  1. Keep Words to a Minimum

    • Hero images should be primarily visual in nature, with very limited text.
    • Acceptable use of words includes your listing or company name or a short tagline (5 to 7 words maximum).
    • Images that are filled with sales pitches, feature lists, discount offers, or marketing copy will not be permitted.
  2. Focus on Visual Appeal

    • Use clean, professional, and eye-catching visuals that reflect your brand and offering.
    • Stock photos, screenshots, or illustrations are welcome, provided they are high-quality and free of excessive text overlays.
    • Visuals should enhance understanding of your software or service, not overwhelm the viewer.
  3. Technical Requirements

    • Size: Images must be 1200px x 630px.
    • Format: JPG, JPEG, PNG, or WEBP (all images will be converted to WEBP to optimize performance).
    • Size: Maximum of 30MB.
    • Safe area: A 63px bleed exists around the edge of the image that may be cut off in certain circumstances (such as transitions or hover states). Keep important content well inside this margin.
  4. Prohibited Content in Hero Images

    • Word-heavy designs, including slides or banners copied directly from sales decks.
    • Promotions or discounts, such as “50% Off This Month” or “Sign Up Now.”
    • Bulleted feature lists or detailed marketing messages.
    • Any design that looks more like an advertisement than a product introduction or brand representation.
    • Pornographic, sexually explicit, or otherwise inappropriate imagery.
    • Images the submitter does not have the legal right to use, including copyrighted or stock images without a proper license.
    • Trademarked content (such as logos, mascots, or brand marks) that the submitter is not authorized to display.

Veterinary professionals come to VetSoftwareHub to discover, evaluate, and compare software and services in a clear and unbiased environment. Word-heavy or inappropriate hero images distract from the goal of the marketplace and reduce trust. By keeping hero images visually appealing, properly formatted, and minimally worded, we ensure every listing is presented fairly and consistently.

Listing image guidelines
Listing images should help buyers understand what your software looks like or what your service delivers. Use clear, accurate visuals that support evaluation without turning the listing into an advertisement.
  1. Image requirements

    • Use high-quality screenshots, product visuals, or service-appropriate imagery that accurately represent the listing.
    • Recommended size: 1200 x 675px or larger.
    • Preferred aspect ratio: 16:9.
    • Accepted formats: PNG, JPG, JPEG, or WEBP.
    • Keep files reasonably compressed. Under 2MB is preferred when image quality remains clear.
    • Avoid blurry, pixelated, stretched, or heavily compressed images.
  2. Content guidelines

    • For software: show real product screens, dashboards, workflows, or feature views.
    • For services: use visuals that clarify the offering, such as team photos, process diagrams, or representative work samples where appropriate.
    • Use images that help buyers quickly understand what the listing offers.
    • Include clean UI screenshots with readable text where possible for software listings.
    • Additional images can show key features, integrations, reports, mobile views, or before-and-after workflows for software; for services, examples of deliverables or outcomes may be appropriate.
  3. What to avoid

    • Do not use misleading mockups that do not reflect the actual software or service.
    • Do not include salesy, pitchy, promotional, or ad-style language in images.
    • Avoid excessive marketing text, badges, stickers, or promotional overlays.
    • Do not include competitor logos, comparison claims, or any imagery or text that disparages other products or companies.
    • Avoid screenshots containing private customer data, PHI, PII, emails, phone numbers, or payment details.
    • Do not upload images with watermarks unless they are part of the product branding.
  4. Branding

    • Vendor or provider logos are fine, but listing images should primarily showcase the software or service.
    • Use brand colors consistently and professionally.
    • Keep backgrounds simple and uncluttered.
    • If using device mockups for software, make sure the screen remains clearly visible.
  5. Software-only: integrations

    • Integration details are managed for software listings and appear on the public product page when applicable.
    • Service listings do not include a public integrations section.

Review and approval process
New submissions, claims, and vendor edits follow different paths but share the same quality standards.
  • New listings: our editorial team checks accuracy, clarity, listing type, and category fit. Most are reviewed and published within 1 to 3 business days.
  • Claims: if your work email domain matches the listing website domain, your claim may be approved automatically. Otherwise we review manually and may send a verification code by email.
  • Vendor edits: after you have approved claim access, changes submitted from your dashboard are reviewed before they go live. This usually takes 1 to 2 business days.
  • Minor edits may be made for consistency and readability.
  • If clarification or assets are needed, we will contact you directly.
Claiming an existing listing
If your software or service is already on VetSoftwareHub, use Claim listing on that page instead of submitting a duplicate.
  • Only authorized vendor or provider representatives should claim a listing.
  • Sign in with a work email address you use for the company behind the listing.
  • Confirm that you are authorized to represent the listing before submitting your claim.
  • Claims are approved automatically when your email domain matches the listing website domain.
  • If domains do not match, we review manually and may email a verification code. Codes expire after seven days.
  • After approval, you can manage the listing from My listings, including copy, images, pricing, and related details.
  • False or unauthorized claims may result in removal of access and delisting.
Updates and edits
  • To submit a new software or service listing, use the self-serve form at /list-software.
  • If the listing already exists, claim it from the product or service page instead of submitting again.
  • After your claim is approved, update copy, images, pricing, and related details from My listings in your vendor dashboard.
  • Submitted edits are reviewed before they go live and must be factual and align with these guidelines.
  • Major changes such as rebranding or acquisitions may trigger a new review.
  • Email vendors@vetsoftwarehub.com for ownership disputes, incorrect listings, or issues you cannot resolve in the dashboard.
Listing fees and visibility
VetSoftwareHub does not sell sponsored placements or paid ways to boost listing visibility.
  • Standard software and service listings are free to submit and maintain after approval.
  • We do not offer paid placement in categories, search results, newsletters, or other areas of the site.
  • The homepage featured listing is rotated from eligible listings based on review criteria. It is not sold to vendors.
  • Vendors cannot pay to rank higher, appear more prominently, or receive preferential treatment in browse or search.
  • Our goal is a neutral marketplace where buyers can compare options fairly.
  • If someone contacts you offering paid VetSoftwareHub placement or visibility, that outreach is not from us. Email vendors@vetsoftwarehub.com if you are unsure.
Reviews and feedback
  • Reviews are collected from sites like Capterra and G2 and run through an algorithm to smoothly average scores.
  • Verified buyers may submit reviews of listed software and services. (coming soon)
  • We moderate for tone, relevance, and authenticity.
  • Vendors may reply publicly to reviews to provide clarification or context.
Privacy and data use
  • We collect vendor contact information for communication about listings only.
  • We do not sell vendor or buyer contact information.

Removal of listings
  • Listings may be removed if they contain inaccurate or misleading information.
  • Listings may be removed if they violate these guidelines.
  • Listings may be removed if a software product or service is no longer actively supported.
  • Access may be revoked for false, unauthorized, or abusive claim activity.
  • VetSoftwareHub reserves the right to remove any listing at our discretion.
